Accolades Official Rules

ELIGIBILITY
The competition will open on Saturday, Nov. 1 and will close on Friday, Jan. 16.

All employees of member institutions in CASE District IV are eligible for these awards. Work done by freelancers or outside agencies is eligible but must be submitted by the institution. Any project produced or implemented since November 1, 2013 is eligible for the competition.

JUDGING
Entries are judged by a panel of experts who are not current advancement professionals in District IV.

AWARDS
Entries may be selected to receive the following awards:

  • Gold- presented for an entry judged to be the best of its class.
  • Silver- presented for an exceptional entry.
  • Bronze- presented for an outstanding entry.
  • Honorable Mention- presented, at the judges’ discretion, for an entry that deserves recognition.

Awards are not necessarily given in each category.

Award winners will receive a certificate suitable for framing. The names of the winners will also be published in an official Awards Listing and distributed at the 2015 CASE Conference.

The names of the office and institution responsible for the winning entry appear on the awards certificates. (If multiple copies of the winner certificates are needed, additional certificates may be ordered at a cost of $15 each from the Awards Chair, Carrie Phillips, until May 31, 2015. After that date, no extra certificates will be printed.) This form will be available at the conference award presentation and online following the conference.

ENTRY PAYMENT INSTRUCTIONS
The fee per entry is $25. Multiple entries are encouraged. A project may be entered in more than one category, but an entry fee is needed for each category.

CASE District IV offers an online submission and payment process/system.

All entries being submitted will use the online system regardless of payment method.

Those selecting credit card as a method of payment, will enter this information as part of the checkout process.

All others should select the “Pay via Check or Purchase Order” option during checkout. Once completed, print the invoice and send along with your check or purchase order.

Make checks payable to CASE District IV. Your invoice and check must be postmarked no later than January 16, 2015, and sent to:

ENTRY INSTRUCTIONS

Basic entry information for items being submitted in multiple categories will only need to be collected once. Multiple entry materials may be submitted with a single payment.

Entry materials include the following items:

  • Entry Title
  • Contact Name of Entrant Responsible for Entry
  • CEO Name
  • CEO Contact Information
  • Institution Name to be Printed on Award
  • Office Name to be Printed on Award
  • Outside Services Employed
  • Cost

All entries will also include a statement regarding:

  • Purpose
  • Audience
  • Results

Upon completing the above materials, you will then be able to select the applicable category (ies) for the entry.

Once you have completed the first item you wish to submit, click the “Add a Project” tab to enter another item in the competition or click “Continue” to proceed to the payment screen.

The entry system will time out after two (2) hours of inactivity. Non-submitted entries will be lost after this period of inactivity. Only 10 entries may be submitted per transaction.

Entries are not stored in the database until contact and payment information has been entered and the form submitted.

Those submitting numerous entries may complete the entry process under several transactions to avoid submitting all entries at once. To do this, please select the “Pay via Check or Purchase Order” for each transaction. Once all transactions have been completed, contact Carrie Phillips to combine the transactions for one credit card payment.

MAILING ENTRIES
Entries must be postmarked no later than January 16, 2015. Please make sure entries are mailed to the correct judging coordinator. Entries submitted after the deadline will not be accepted.

WINNING ENTRIES
Winning entries will be displayed at the 2015 CASE Conference at the Hilton Hotel in Austin, TX.

Any entries not retrieved by the end of the conference will be discarded. Non-winning entries are not returned unless prior arrangements have been made.

Winners will be announced during the awards ceremony in Austin, TX on Monday, April 13.

Platinum Categories Official Rules

ELIGIBILITY

The competition will open on Saturday, Nov. 1 and will close on Friday, Jan. 16.

Advancement professionals who are employed at CASE IV member institutions are eligible to submit entries. There is no limit to the number of entries per individual or institution. All materials submitted should have been completed primarily between July 1, 2013 and June 30, 2014.

General guidelines:

  • Work entered will not be returned. Please do not send original artwork, photographs, slides or other one-of-a-kind materials.
  • All physical entries (abstracts and entry materials) should be placed in a binder or folder. Do not mount entries on boards.

ENTRY INSTRUCTIONS

  1. Select Category

Review the list of categories and choose one you wish to enter. You can enter as many categories as you like after you begin the entry process. Click on the entry link by the category you wish to enter.

  1. Login

Before you can begin your entry, you will be prompted to login to the system. Please use your CASE login. If you do not have a CASE login or do not remember your login, visit the account page.

  1. Entry Details

Only CASE member institutions located in CASE District IV are eligible to enter. The “Entry Details” page (Step 1) will display the institution connected to your membership – the institution that will be recognized if your entry wins an award. If the institution listed is incorrect, click on the “go to my account” link under the institution to change the institution tied to your account. You can also provide an alternate point of contact for your entry on this page.

After you confirm your institution, you can begin completing the online entry form. Throughout the entry process, you have the ability to save your entry as a draft and return later. When you login, you will find the draft saved under “My Award Nominations.” You can also start another entry after you have saved an entry as draft.

  1. Questions/Attachments

Each category/subcategory has a set of entry questions, which you answer on the “Entry Information” page (Step 2). In addition, you will either be required to provide attachments or will have the option of attaching supplemental documents with your entry on the “Attachments” page (Step 3). Please be sure to save your work frequently.

  1. Mailed Materials

If a category requires entrants to send mailed materials, you will see instructions and a mailing address at the top of the “Entry Preview” page (Step 4). Print your online entry form by clicking on the “Printer Friendly View” link in the top right corner of the page and mail the form along with hard copies of any supporting materials asked for in the category description to the person listed in the mailing instructions (unless the category specifically instructs for online entry only). You should also print out a copy of your completed online entry for your records.

Caution: Be sure to give your entries ample time to arrive at the judging locations. Entries must be postmarked by Friday, Jan. 16.

Please carefully check the instructions for each category. Entries for certain categories are completely online. There is no need to mail your entry to the judging location for online only entries.

  1. Submit Final/Payment

When you are ready to submit your entry, click the “Submit Final” button at the bottom of the Entry Preview page. Note that you will no longer be able to edit your entry once you click Submit Final.

Once you click submit final, you will be presented with three options: Pay Now, Pay All, Pay Later. If you wish to pay for the entry you just completed only, click “Pay Now”. If you wish to pay for the entry you have just completed as well as any other entries you have completed, click “Pay All” to pay for all of your entries at one time. If you wish to complete other entries before you pay, click “Pay Later.” This will save your completed entry, though you will need to return and pay the entry fee at a later time in order for your entry to be considered for an award.

CASE accepts credit cards for payment of entry fees. The fee \ for the Platinum categories is $125 per entry.

WINNING ENTRIES
